Start by naming the job that is failing

Consider a companion before a replacement
Cvent can remain the master event, registration, attendee, session, and communication system while a focused layer owns restricted accommodation casework. This boundary avoids recreating broad event capabilities and reduces the migration surface. It works only when source identifiers, update behavior, access boundaries, minimum-necessary writeback, failures, and manual recovery are explicit.
Score the accommodation object model
Ask what the software treats as its central record. A custom field, registration response, attendee note, ticket, or generic task cannot prove the same facts as an attendee accommodation request linked to an event-specific fulfillment plan. One request may require several services, and each service may have its own provider, approval, room, platform, materials, cutoff, readiness state, attendee instruction, evidence, and discrepancy.

The team must still receive, correct, plan, confirm, deliver, and close a request when the source export is late or automation is unavailable.
Compare privacy and evidence, not feature labels
Verify tenant isolation, case grants, purpose-limited provider and onsite briefs, export controls, document expiry, audit events, retention, deletion, break-glass access, and small-group reporting suppression. Then test separate provider attestation, organizer observation, requester feedback, incidents, discrepancies, reopen paths, and superseding corrections. Generic labels such as workflow, automation, or audit do not establish that these facts remain distinct.
Calculate the total cost of the workflow
Include the platform license, implementation, migration, integration maintenance, spreadsheet reconciliation, private email, provider follow-up, change review, attendee communication, onsite recovery, incident investigation, audit preparation, retention, and closeout. A full Cvent replacement may be justified for broad event reasons; an accommodation workflow gap alone may be solved faster and with less risk by a focused companion.
