01

Prepare a provider brief before asking for availability

Start with the attendee's communication preferences and the real session schedule. Give your chosen provider enough assignment information to advise on appropriate coverage; a budget estimate does not establish staffing, qualifications, or suitability.

  • Event date, time zone, venue or platform, and an organizer contact
  • Each session, simultaneous track, break, room move, and audience interaction
  • Subject matter, speakers, presentation materials, and when final versions will arrive
  • Onsite, remote, hybrid, livestream and recording requirements to confirm with the provider
  • A response deadline and the point when an availability enquiry becomes a confirmed booking
02

Start with communication and event context

Record affected dates and sessions, format, location, travel between spaces, platform or stage context, subject matter, expected interaction, recording, attendee instructions, and provider preparation needs.

03

Coordinate the physical or virtual environment

Confirm interpreter positioning, lighting, sightlines, camera framing, remote feeds, room access, reserved seating when relevant, speaker pace and microphone expectations, and technical-test ownership.

04

Treat confirmation as a versioned plan

Tell the attendee what service is planned and how to access it. If schedule, location, delivery mode, or important instructions change, send a revised plan and request reconfirmation.

05

Compare quotes against the same assignment

Ask each provider to identify covered sessions, personnel or team arrangements, preparation, travel, equipment, minimum booking windows, overtime, cancellation terms and any recording conditions. Mark each item confirmed, excluded or awaiting clarification. Keep an availability reply separate from a booking confirmation. Do not compare hourly figures while leaving those differences implicit.

06

Rehearse a room change before event day

Use a sample change, such as a session moving to a different room, to check who updates the provider, verifies the new sightline or video feed, and sends revised instructions to the attendee. Record the acknowledged plan version and a day-of escalation contact. These are organizer handoff checks, not a substitute for provider or attendee judgement.

Operational boundary

Keep decisions human and evidence explicit

Evencue records decisions made by authorized organizers and coordinates their event-specific consequences. It does not determine legal reasonableness, medical validity, entitlement, or venue certification. Provider and onsite views receive only the information required for their task.

Common questions

What teams usually ask

How far in advance should an ASL interpreter be requested?

Availability varies by market, schedule, specialization, and provider. Begin outreach as early as practical and track the provider’s real lead time rather than relying on a universal number.

Should provider briefs include a diagnosis?

No by default. Share the communication and event context required for the assignment, not unrelated medical or diagnostic information.

Can Evencue choose an interpreter?

No. Authorized organizers choose and contract with their own providers. Evencue records outreach, confirmation, logistics, delivery, and evidence.
