A small, short-lived list with one owner and few dependencies can be practical. CSV also remains useful for migration, reconciliation, and accessible data export.
Where the model breaks
A row cannot naturally represent multiple service requirements, versioned plans, provider acknowledgements, approvals, disclosure packs, attendee confirmations, incidents, separate evidence sources, and superseding corrections.
A safer migration path
Start with the current sheet, minimize fields, map columns, preview cases, isolate errors, retain source keys, import an auditable batch, and continue using exports for authorized reporting.
Compare the operating model, not the file format
The problem is not that CSV is old or that spreadsheets are always unsafe. The problem is asking a flat row and informal team habits to represent a case lifecycle. Compare how each approach assigns ownership, models several services, connects event dependencies, limits disclosure, records approvals, confirms the attendee plan, reacts to changes, distinguishes evidence, and closes the record. A purpose-built workflow can still import and export CSV while making those states explicit.
- Who owns the request now, and what is the next dated action?
- Which service is blocked, by what dependency, and before which cutoff?
- What exact information did each provider or onsite role receive?
- Which plan version did the attendee receive and confirm?
- What did each party report at delivery, and what remains unresolved?
Count the hidden cost of spreadsheet coordination
License cost is only one part of the decision. Include time spent reconciling forms, sheets, email, chat, procurement, provider replies, agenda changes, attendee messages, onsite documents, incident notes, and post-event evidence. Add the cost of duplicate entry, unclear ownership, stale exports, manual redaction, late discoveries, and audit preparation. Use measured team time and actual event volume; do not rely on a generic return-on-investment claim.
Migrate one complete event before scaling
Choose an event that reflects normal complexity without creating unacceptable operational risk. Clean and map the source sheet, import a preview, resolve row errors, and reconcile counts. Then follow representative requests through clarification, services, approvals, providers, attendee confirmation, schedule change, day-of status, discrepancy, correction, and closeout. Keep the original source read-only for the agreed validation period and define the rollback path before launch.
Keep authorized exports useful
Moving away from a live spreadsheet does not mean trapping data in the application. Define scoped exports for case review, finance, provider coordination, audit, and offboarding. Each export should specify purpose, fields, requester, time, retention, and redaction rules. Reusable portfolio reports should aggregate operational measures and suppress small groups rather than distributing attendee-level narrative.
Keep decisions human and evidence explicit
