Start with scope, authority, and accountable owners

Name the event, dates, formats, venues or platforms, accessibility coordinator, decision authority, privacy owner, production owner, onsite lead, and executive escalation path. State what the plan covers and which policies or legal reviews remain outside it. The template supports operational coordination; it does not determine legal reasonableness, diagnose a person, approve a request autonomously, or certify a venue.

Publish accessible information and a usable request route

Document the accessibility statement, private request channel, assisted submission option, coordinator contact, response expectation, practical planning date, late-request process, and privacy notice. Test the route by keyboard, with a screen reader, at 200 percent zoom, in high contrast, and on a mobile device. A public statement is credible only when the stated contact, response target, and follow-up process are staffed.

Plan the venue, platform, and attendee journey

Record sourced, dated observations for arrival, parking or transit, entrances, routes, elevators, rooms, stages, seating, restrooms, food service, quiet spaces, emergency information, and departure. For virtual or hybrid participation, include platform controls, keyboard access, captions, interpreter video, chat moderation, accessible materials, recording, and technical support. Assign a verifier and review date to each claim. Evencue does not certify a venue, and an old checklist is not current evidence.

Turn accepted requests into service-level requirements

Keep the attendee's request, the authorized organizer decision, and each planned service distinct. One request may create separate requirements for CART, interpreting, assistive listening, seating, mobility support, dietary operations, accessible materials, transportation, or a quiet space. Give every requirement an owner, service window, location or platform, dependency list, approval status, cutoff, fallback, and requester-facing instruction.

Coordinate providers, finance, speakers, venues, and production

A service is not ready because a quote exists. Track provider availability, commercial approval, purchase order or contract state, assigned personnel, preparation materials, equipment, room or stream access, technical test, arrival, onsite contact, fallback, and acknowledgement. Share minimum-necessary information: providers and production teams need service scope and logistics, not unrestricted diagnostic or case narrative.

Confirm the exact plan with the attendee

Send a plain-language summary of the current service plan, including dates, sessions, locations, arrival or connection instructions, contacts, limitations, alternatives, and how to question or correct it. Record the plan version and confirmation status. If a room, agenda, provider, platform, or material changes, identify affected services and deliberately request a new confirmation instead of leaving an obsolete plan marked complete.

Prepare day-of states, incidents, and recovery

Define service states such as expected, ready, attendee arrived, active, completed, problem, no-show, and cancelled. Create a time-zone-aware escalation tree and an offline or printed continuity plan with expiry and handling rules. Incident records should capture the time, affected service, observed condition, immediate action, owner, requester-visible update, and follow-up without copying private request details into a broad production log.

Close with separate evidence and reusable learning

Provider attestation, organizer observation, attendee feedback, incident evidence, and the absence of a report are different facts. Keep them labeled, resolve discrepancies, allow reopening, and append corrections that supersede rather than erase earlier events. Apply the retention policy to sensitive case data. Preserve reusable venue, provider, and process learning only after removing restricted personal information.

Use the template as a software buying test

Run one representative request through every section of the plan. If owners still depend on inbox search, service readiness is a single status, private narrative enters broad event tools, confirmations cannot be versioned, or closeout evidence cannot be traced, compare a focused fulfillment workspace. Evencue is designed to sit beside registration and conference systems, not replace ticketing, marketing, sponsorship, abstracts, attendee engagement, or a full association management system.

What should an event accessibility plan include?

Include governance, public information, request handling, venue and platform facts, service requirements, owners, cutoffs, provider and production dependencies, attendee confirmation, day-of states, incident recovery, evidence, retention, and closeout.

Is this an ADA compliance template?

No. It is an operational planning template, not legal advice or certification. Apply the laws, policies, contracts, and professional review relevant to your organization and event.

Does the template certify that a venue is accessible?

No. Record who observed or supplied each venue fact and when it was verified. Evencue does not certify venues.

Can I use the template without Evencue?

Yes. It works in the browser without signup and can be printed or saved as a PDF. A workspace becomes useful when multiple requests, services, roles, versions, and evidence are difficult to control manually.

How early should the plan be created?

Create the operating plan before registration opens, then update it as venue, agenda, platform, provider, and attendee facts become known. Service cutoffs and response targets should be explicit rather than implied.
